Office Assistant at the University Archives
Job Summary
Under the supervision of the Director, s/he performs tasks needed in the processing, organization, providing access to, and maintenance of the collection in the University Archives. S/he will contribute to the overall efficiency and effectivity of the University Archives as one of the service units under the Central Administration which serves as the central depository of official and historical records of the University..
Job Responsibilities
I. Processing of Records
· Arranges and organizes records (transferring, boxing, and labeling)
· Conducts inventory and shelf reading of collections
· Assists in encoding inventory lists and other finding aids, as needed
II. Maintenance of the Archives
· Daily monitoring and recording of room temperature and humidity levels in the storage and working areas
· Performs daily routine of operating equipment in the storage and research areas (lighting fixtures, air conditioning units, air cleaners, dehumidifiers, public access computers, and TV displays)
· Assists in monitoring the physical upkeep of the unit
· Performs basic periodic cleaning of archival records under close supervision of the unit’s Director
III. Clients Service
· Locates, retrieves, and shelves requested/used materials to and from storage areas
· Assists the frontline staff in answering clients’ queries, as needed
· Scans and photocopies requested materials
IV. Administrative Support
· Assists in pick-up, receiving, and delivery of documents and receptions of calls
· Assists in handling petty cash withdrawals, encashments, and payments at the cashier, and other accounting related tasks, as needed
· Provides clerical support such as filing, binding, and copying
· Assists in setting-up/installation of exhibit materials and displays
· Performs other related tasks that may be assigned by the immediate supervisor
Qualification:
1. College graduate
2. With 1-2 years relevant working experience
3. Proficiency in using Microsoft Office software applications
4. Good interpersonal skills
